Event Terms and Conditions of Participation

Organised by Jeep Club Cyprus in collaboration with the Alkinoos Artemiou Foundation

1. Introduction and Acceptance

These Terms and Conditions (the "Terms") govern participation in and attendance at "Jeep Invasion 5 Nicosia" (the "Event"), a charity-driven automotive gathering and police-escorted convoy taking place in Nicosia, Cyprus on Sunday, 7 June 2026 and any associated activities at Makariou Avenue and the designated assembly points.

The Event is organised by Jeep Club Cyprus in collaboration with the Alkinoos Artemiou Foundation (together, the "Organisers"). References to "you", "your" and "Participant" mean any person who registers a vehicle for the convoy, attends the Event as a passenger, attends as a member of the public, or otherwise participates in any Event activity.

By registering for the Event, entering any Event area, or by joining the convoy, you confirm that you have read, understood and agreed to be bound by these Terms in full and on behalf of any minors or guests in your care or vehicle. If you do not agree, you must not register for or attend the Event.

2. Eligibility and Vehicle Requirements

Participation in the convoy is open to drivers and vehicles that meet all of the following requirements at all times during the Event:

  • The driver holds a valid driving licence appropriate to the vehicle being driven, recognised under Cyprus law.
  • The vehicle is registered, roadworthy, holds a valid MOT certificate where applicable, has a valid road tax disc, and is covered by a valid motor insurance policy that is in force for the duration of the Event, including any third-party liability cover required by Cyprus law.
  • The driver is not under the influence of alcohol, drugs or any substance that impairs their ability to drive safely, and is fit to drive.
  • The vehicle does not, in the reasonable opinion of the Organisers, present a safety risk to other participants, spectators, or the public.

The Organisers may, at their sole discretion and without obligation to provide reasons, refuse entry to or remove from the Event any driver, vehicle or attendee who they consider does not meet these requirements.

3. Personal Responsibility for Vehicles and Driving

You acknowledge and agree that:

  • You remain in full and sole control of your vehicle at all times during the Event, including throughout the police-escorted convoy.
  • You are solely responsible for the condition, operation, parking and security of your vehicle and its contents, and for any property left inside it.
  • You are solely responsible for complying with the Cyprus Road Traffic Law and all applicable traffic regulations, signs, signals and speed limits at all times.
  • The presence of a police escort facilitates the convoy but does NOT exempt you from compliance with any traffic law or regulation. Any fines, penalties, points on licence or other consequences arising from your driving conduct are your sole responsibility.
  • You are responsible for any damage, loss, injury or third-party liability caused by you, your vehicle, your passengers or any property in your vehicle, whether to yourself, other participants, spectators, third parties or property.
  • You will maintain a safe distance from other vehicles, will not perform stunts, donuts, burnouts, drifting, racing, dangerous overtaking, excessive revving or any other unsafe or anti-social driving behaviour, and will not deviate from the convoy route without instruction.

The Organisers do not inspect, certify or accept any responsibility for the mechanical condition, insurance status, roadworthiness or legal compliance of any participant vehicle.

4. Assumption of Risk

You understand and accept that participation in a vehicle convoy and attendance at a large public gathering involves inherent risks, including but not limited to: road traffic incidents, mechanical failure, collision, vehicle damage or theft, slips, trips and falls, exposure to weather conditions, crowd-related risks, exposure to noise, and the actions or omissions of other participants, spectators and third parties.

You voluntarily participate in and attend the Event with full knowledge of these risks and assume all such risks on your own behalf and on behalf of any minor or guest in your care.

5. Instructions, Marshals and Authority of Organisers

At all times during the Event, you must:

  • Follow all reasonable instructions given by the Organisers, event marshals, stewards, security personnel, police officers and any other authorised official.
  • Observe all posted signage, designated routes, parking arrangements, entry and exit points, and safety perimeters.
  • Conduct yourself in a manner that does not endanger, threaten, harass, intimidate or cause offence to other participants, spectators, Organisers, staff, sponsors, or members of the public.

The Organisers, acting through their officers, marshals, stewards or any duly authorised representative, reserve the absolute right to refuse entry to, eject, remove or otherwise expel any person or vehicle from the Event at any time, without prior warning and without any obligation to provide reasons or any refund, where in their sole judgement such action is appropriate, including (without limitation) where a person:

  • Fails to follow instructions given by the Organisers, marshals or police.
  • Drives or behaves in a manner that the Organisers consider unsafe, reckless, anti-social or contrary to the charitable nature of the Event.
  • Appears to be under the influence of alcohol or drugs.
  • Behaves abusively, aggressively, discriminatorily or disruptively toward any person at the Event.
  • Breaches any provision of these Terms.

You agree to leave the Event area immediately and peacefully if asked to do so. No refund of donations will be issued in such circumstances.

6. Minors and Persons in Your Care

Minors (persons under 18 years of age) are welcome to attend the Event but must be accompanied and supervised at all times by a parent, legal guardian or responsible adult. The accompanying adult is fully responsible for the minor’s safety, conduct and compliance with these Terms. By registering or attending with a minor, you confirm that you have the authority to accept these Terms on the minor’s behalf.

7. Alcohol, Prohibited Items and Conduct

Drivers participating in the convoy must not consume alcohol or any other intoxicating substance before or during the convoy.

The following items are not permitted into the Event area: weapons of any kind, fireworks, flares, smoke devices, illegal substances, and any other item that the Organisers reasonably consider unsafe or unsuitable.

Smoking is permitted only in clearly designated areas where applicable..

8. Cancellation, Postponement and Force Majeure

The Organisers may cancel, postpone, shorten, relocate or modify the Event, the convoy route, the programme or any element of the Event at any time, without prior notice and without liability, where they consider this necessary or appropriate, including on grounds of safety, weather, road conditions, public order, instructions from competent authorities, the police or any government authority, or any event beyond the Organisers’ reasonable control (including but not limited to extreme weather, fire, flood, civil disturbance, pandemic, terrorism, acts of God or government restrictions).

The Organisers shall not be liable for any costs, losses, expenses or inconvenience suffered by Participants in connection with such cancellation, postponement or modification.

9. Limitation of Liability and Indemnity

To the fullest extent permitted by applicable law, the Organisers, the Alkinoos Artemiou Foundation, their officers, members, employees, volunteers, sponsors, partners, contractors and agents (the "Released Parties") shall not be liable to you for:

  • Any loss of or damage to your vehicle or its contents, or any other personal property, however caused.
  • Any personal injury, illness or death sustained by you or anyone in your care or vehicle, save to the extent caused by the gross negligence or wilful misconduct of the Released Parties and to the extent that such liability cannot be excluded by law.
  • Any indirect, consequential, economic or non-pecuniary loss of any kind, including loss of enjoyment.
  • Any act, omission, default or negligence of any other Participant, spectator or third party.

You agree to indemnify and hold harmless the Released Parties from and against any and all claims, damages, fines, penalties, losses, costs and expenses (including reasonable legal fees) arising out of or in connection with: (a) your participation in the Event; (b) your driving conduct or the use of your vehicle; (c) any damage or injury you or your vehicle causes to any person or property; and (d) any breach by you of these Terms.

Nothing in these Terms excludes or limits liability that cannot be excluded or limited under applicable Cyprus law.

10. Photography, Filming and Use of Your Image

The Event is a public-facing charity event and will be photographed and filmed by the Organisers, official photographers, sponsors and accredited media. By attending or participating, you acknowledge that:

  • You and your vehicle (including any visible registration plate, decals or markings) may be photographed, filmed, livestreamed or otherwise recorded.
  • The Organisers may use, reproduce, edit, publish, broadcast and distribute such photographs, video footage, audio recordings and any other images of you in any medium now known or later developed, including on the Organisers’ websites, social media channels, marketing materials, press releases, sponsor reports, fundraising communications and future event promotions.
  • Such use is on a worldwide, royalty-free, perpetual basis and no payment or further consent will be due to you.

The lawful basis for this processing under Article 6(1)(f) of the General Data Protection Regulation (EU) 2016/679 ("GDPR") is the legitimate interest of the Organisers in documenting and promoting a public charitable event. If you do not wish to be photographed, you may (i) not attend the Event, or (ii) inform a marshal on arrival and make reasonable efforts to remain away from photography zones. You may also submit a written request to the contact address in Section 13 to have a specific image of you removed from future publications, which the Organisers will assess in good faith and action where reasonable.
